Reports to: Shift Supervisor
Job Purpose: To ensure all drivers check in and are given the appropriate information on what to do. Shipping and receiving clerk will also set up the work flow for the dock by assigning trailers to appropriate doors.

Duties


Read all E mails

Answer incoming phone calls

Update the daily yard check

Check in all drivers and visitors

Utilize the Driver Check in Process

Manage and maintain all dock assignment/trailer moves with the switcher

Review all loads that are at the dock to be worked

Manage the master consolidation schedule

Proper stamping of all bill of ladings

Review empty trailer list with dispatch throughout the day

Clone and file bill of ladings

Manifest outbound orders

Prepare and manage all Load Folders for routes

Update daily OS&D dunnage report

Support customer service, Maintenance Dept. and Dispatch as needed.

Reinforce all Safety policies and procedures.

Reports to: Customer Service Supervisor

Job Purpose:The purpose of the Customer Service Rep is to read and respond to customer emails and or phone calls; clone inbound bill of ladings; complete daily outbound manifests for both company equipment and outside carriers; add tenders to non JCI related loads; communicate to dispatch when there are additional pickups requests or cancellation requests; communicate to customers and supervisor when there with any exceptions.

Duties


Manage customer and Operational requests via phone or email.

Update Daily shift log with customer requests

Answer phone calls

Notify customers with any exceptions

Complete daily outbound manifest (Ensure all Canadian loads have the appropriate customs docs)

Clone and file bill of ladings

Review empty trailer list with dispatch throughout the day

Communicate to dispatch with any added pick up request

Add tenders to non related JCI loads

Print out F1-F4 print screens and give to the shift supervisor after each outbound manifest is complete

Support Shipping/Receiving, Maintenance Dept., and Dispatch as needed.

Reinforce all Safety policies and procedures

Dispatcher

Reports to: Operations Manager

Job Purpose:To ensure customer’s needs are met through the proper and efficient utilization of equipment and drivers. This involves giving drivers the proper information from the start of their shift until the end and communicating with them throughout the day. This includes giving drivers pick up times, directions, assigning keys for trucks, proper paperwork etc. Entering pieces and weight received from drivers for each customer order. Also responsible for communicating with customers on specific issues and problems. Work in conjunction with the CSR to ensure scheduled daily pickups are assigned to appropriate drivers. Coordinate with the shipping and receiving department on warehouse/dock staging of trailers or loading unloading of equipment. Deal with the daily planner to ensure all freight is covered. Communicate with the safety department any driver issues, accidents, incidents and attend training as needed. Ensure drivers are working in conjunction with DOT regulations on a daily basis. Work in conjunction with the maintenance department on truck/ trailer break downs and or repairs.

Duties

Dispatch drivers in the system

Print out route sheets if needed along with directions

Check loads in yard folders

Update dispatch board

Take check calls from drivers (Update the AS 400)

Monitor the manifest board to assure drivers are on time for pick up and delivery

Add stops to a drivers route when necessary

Update websites for customers that require it

Handle driver break downs

E mail appropriate parties if any delays occur

Supervisor

Reports to: Operations Manager

Job Purpose: The Supervisor role is multifaceted and responsible to be a leader of drivers, dock personnel, and office personnel.
The Supervisor provides management oversight to the dock, dispatch, and customer service operations team. The leadership expectation of this role includes: maintaining an excellent safety record and ensuring the off-site team and driver fleet have the necessary support to meet and exceed the customer expectations and needs.

Duties


Driver management

1. Conduct monthly driver meetings.
2. Regulatory/safety Compliance.
3. Conduct ride alongs with local and domiciled drivers
4. Resolve pay issues and answer pay questions for drivers
5. Maintain absence calendar

Office management

1. Hire and train administrative associates
2. Ensure top level of customer service provided for all customers.
3. Ensure all required reporting is completed on time.

Equipment management

1. Review PM schedule insure all PM’s are being performed on time and a 90% completion rate or better is maintained
2. Inspect equipment for serviceability e.g. brakes, tires, liftgates, airlines,
3. Inspect exterior of equipment for cleanliness
4. Inspect interior of tractors for cleanliness and organization

Dock management

1. Make sure SOP’s are in place and being followed
2. Perform dock audits
3. Ensure management oversight of dock operations to ensure timely receipt and staging of freight.
4. Ensure management oversight of dock operations to ensure timely loading and dispatching of routes
5. Conduct warehouse inspection to include the following items
• Safety
• Lighting
• Cleanliness
• Claims area
• Material Handling Equipment (MHE)
• Dock plates and dock doors
• Staging area
• Fire extinguishers, first aid, and eye wash station
• Safety cones, wheel chocks, and dock door chains
• Forklift staging area
• Cages and rack staging areas


Experience & Skill Requirements Strong Dock and Driver management experience; Exhibited sense of urgency, creativity and a flexible approach to running the business; Ability to make decisions and take action ;Possess solid judgment and common sense; High level of drive, energy and stress tolerance; Good physical condition; Strong oral/written language skills; Ability to build team relations and maintain high moral; Ability/desire to work independently; Strong interpersonal skills; Four year college degree strongly recommended.
